Access Role

💡 Salary is only exported for employees you have salary access to. If you do not have a user role with salary access, the salary columns will be empty for those employees. This is handled automatically by Huma.

⚠️ All administrators in your organisation will be notified when you export user data. These files contain sensitive information, handle them with care and store them securely.

 

Export users

  1. Go to the People module

  2. Navigate to "Everyone" and click "Export users" in the top right corner

    1. Choose who to export — select individual employees, teams, locations, companies, or everyone

    2. Choose account status — active, inactive, or both

    3. Choose what to export — select which profile fields to include

    4. Choose whether to include salary

    5. Choose whether to export positions and/or salary as of a specific date

  3. Select your preferred file format — Excel (XLSX), CSV, or PAXml (XML)

  4. Click "Download" and the file will appear in your downloads folder

 

 

💡 Custom profile fields are automatically included in all exports.

Export positions and salary on a specific date

The People export includes one position per employee at a time. If an employee has had multiple positions, you need to select a date that falls within the period of the position you want to export.

Example:

Thomas has two positions in Huma.

  1. Marketing — May 2024 to May 2025

  2. Sales — April 2025 to today

 

To export data from the marketing position, select a date between May 2024 and May 2025.

To export data from the sales position, select a date between April 2025 and today.

💡 If no date is selected, the export defaults to today's date, meaning the current active position is used.

 

 

Can I use the People export to calculate employee turnover?

Yes. By exporting both active and inactive users for a selected time period, you get a dataset that includes start dates, end dates and other employee data. This can be used to calculate turnover statistics in tools such as Excel, Power BI or other analysis tools.

To get the right data:

  1. Go to the People module
  2. Click "Export users"
  3. Under "Account status" — select "Both" to include both active and deactivated users
  4. Set the relevant time period
  5. Include the fields you need — such as contract start date, last day of work and contract end date

 

💡 The export includes one position per employee. If you need data from a specific period, use the date filter to select a date that falls within the relevant position period.

 

FAQ

How can I get a list of employees with unspecified gender?

You can find this by running a People export and filtering on empty values in the Gender column.

  1. Go to the People module
  2. Click "Export users"
  3. Include the "Gender" field in the export
  4. Open the file in Excel or Google Sheets
  5. Filter the Gender column to show empty cells — these are employees with no gender registered

 

How can I find employees with missing data in the export?

Open the export in Excel or Google Sheets and filter on empty cells in the relevant column. This works for any field — for example Gender, Employment ID or Contract type. This is useful for identifying incomplete employee profiles across your organisation.

 

Why are some columns empty in my export?

There are two common reasons: either the data has not been registered on the employee's profile, or you do not have access to that field. For example, salary columns will be empty for employees where you do not have a salary user role.
