Set up absence
Setting up the Absence module in Huma for the first time? Learn how to do it here.

Define settings and policies for each absence type
Access the Absence module to configure and establish your module settings.
- Go to the "Absence module" and click "Set up absence"
- Set up your "Work schedule"
- The "Work schedule" specifies the "Public holiday calendar" and "Work days" for the employees.
- Define your "Work schedule name"
- Define it´s "Work days"
- Assign people now, or later on
- Click "Continue" and define settings and policies for each absence type
- "Absence types" has different settings you can define
- Require approval - When an employee applies for vacation, a manager must approve it
- Display as - Choose to show the absence type when an employee is absent, or as 'Away'
- Allow graded absence - Choose wether employees can apply for graded absence or not, and how it´s counted in Huma (full or partial days)
- There are different settings for some absence types
- Sick leave
For this absence type you can enable "Follow-up process". Read more about it here - Require end date - If not required, a registration can be set to run until it is manually stopped by setting an end date
- Require notes - If required, the employee is required to provide notes when registering absence of this type
- Include option for work related cause - will enable the option to flag the absence´s cause as work related
- Sick leave
- Define your "Policy" by clicking "Edit" and edit it´s settings.
- Policy is another set of rule for your absence types
- Default for new employees - Determine whether the policy will be implemented for any new user in your Huma account
- Time periode - Choose wether the policy should follow the calendar year or be based on a rolling time period
- Limit number of days - This decide how many days the employees will have available to use for this type of absence
- Allow days to be transferred - Decide wether employees can transfer absence days or not
- Export code
- You can create, delete and edit policies later on
- Define settings for each Absence type and Policy, click "Finish setup" and your Absence module setup is now complete.
Absence types
In Huma there are 7 absence types
- Vacation
- Self-certification
- Sick leave
- Paid time off
- Unpaid time off
- Sick child
- Parental leave
You cannot create, edit or delete an absence type in Huma.
Work schedule
You can always create, edit or delete "Work schedules". The "Work schedule" specifies the "Public holiday calendar" and "Work days" for the employees.
To edit, create or delete "Work schedules"
- Go to the "Absence module"
- Click "Add work schedule" to create a new one
- Click on the "three dots" located to the right of the work schedule to edit or delete it
- Click on the "three dots" located to the right of the work schedule to mange assigned people
- Public holidays are predefined in the Holiday Calendar when you create a new work schedule, so you cannot edit or define them manually. You can either select a Holiday Calendar based on your country or choose not to link a country, in which case no public holidays will be included.
Absence settings
You can edit settings for absence after setting up the Absence module for the first time.
- Go to the "Absence module"
- Click "Settings"
- Navigate to the absence type you want to edit and click "Edit absence type"
Policy settings
To create, edit or delete a policy you must
- Go to the "Absence module"
- Navigate to "Settings" and the absence type linked to the policy
- Click on the absence type and
- "Add policy" if you want to create a new one
- The "three dots" located to the right of the policy type, if you want to delete or edit it
- Employees can be associated with only one policy at a time
- You can always obtain an overview of the policies associated with an absence type by clicking on the absence type
- Editing time period and days available is not possible for already created policies. To edit them, please reassign all assignees to a new policy.
Manage absence
- To manage absence, you will need a "System role" with "Full access over absence"
- Admins, Supervisors and user roles with absence approval access will receive notifications when absence is registered, edited or deleted. Employees will receive notifications when absence is registered on them.
