How to set up an offboarding

How to create effective processes for when employees leave.

What is offboarding in Huma?

Create great exit routines for your employees, increasing the chances that your former employees will act as ambassadors for your company.

The offboarding module helps you standardize and automate processes to save time and ensure your tasks are done at the right time and by the right person.

How do I create a new offboarding in Huma?

    1. Go to the Offboarding module
    2. Navigate to "In progress"
    3. Click "New offboarding" and pick a person from the employee list
    4. Fill out details for the offboarding and choose a template 
      1. You can choose to contiune without an offboarding template
    5. Click "Contiune" 
      1. You will now see an overview of the different tasks, due dates and responsible. You can modify, add or remove tasks if that is required for this particular onboarding.
    6. Click "Start offboarding" at the top right corner 
      1. Tasks will be assigned
      2. People assigned to tasks will be notified

    To be able to set "Last day of work" when creating a new offboarding, the user needs user role with employment - termination permission ('only see' or 'see and edit') to set last day of work in offboarding process. Read more about user roles here

    Who has access to the offboarding overview?

    Like all modules within Huma, offboarding is also permission based. In short, you only see what you are supposed to see. e.g. an employee does not have access to someone else's offboarding tasks.

    Will the task assignee be notified?

    If you have been assigned a task, you will receive a notification.

    How many offboardings can be started?

    The Huma Enterprise package allows you to start as many offboarding flows as you want and create endless templates. With the Business and Free packages there are some limitations.

    How do templates work?

    How should the offboarding process work in your company? Are there different processes for different employees, positions, and locations? Either way, build the templates you want and give them names you need so it is easy to find and manage in the end: e.g. ”Manager”, ”Employee”, ”Learning”

    To add an offboarding template

    1. Go to the Offboarding module
    2. Navigate to "Templates"
    3. Click "Add offboarding template"
    4. Fill out name and icon for the template, and click "Continue"
      1. You will now see an overview of the different tasks, due dates and responsible. You can modify, add or remove tasks if that is required for this particular offboarding
    5. The template will auto save and you can always start an offboarding from the three dots at the top right corner 
      1. You can always go back and edit an existing template. 
     

    How to edit an existing template

    1. Go to the Offboarding module
    2. Navigate to "Templates"
    3. Click on the template you want to edit
    4. Start modifying the new template
      1. Add or remove tasks
      2. Adjust due dates and/or responsible person

    Please note that already started offboarding processes will not be affected by changes to the template, only future onboarding processes will be affected.


    Who can create and manage offboarding and templates?

    • Users with a "System role" with "Full access to onboarding, offboarding and processes" can add, update and delete templates.
    • Users with a "System role" with "Full access to Users" can start, manage and delete onboarding, offboardings and processes.
    • Users with a "User role" with "Full access to on- and offboarding" can start, archive and delete on- and offboarding for members. 

    For example:

    • A manager for the Oslo location can create, view, and manage all offboarding processes and tasks for departing employees in Oslo.
    • A manager with organization-wide access can create, view, and manage offboarding processes for departing employees across all teams and locations.

    Can you copy a template?

    Yes, feel free to create a master template that contains all the things you can think of, including a laundry list of tasks. Once that is in place, you can quickly copy a version and start working.
