Roles and access

Start a process
- Go to the Processes module
- Click "New process"
- Choose who the process is for: a specific person, a team, a location or the entire organisation
- Optionally add a "Regarding" person if the process is about a specific employee
- Select a template, or continue without one
- Set the reference date
- Click "Continue"
- Review and adjust tasks, you can add, edit or remove tasks before starting
- Click "Start process"
- When you start a process, all users assigned to tasks will be notified.
💡 The "Regarding" field tags the process as being about a specific employee. The process will appear on their profile, but they will not have access to it unless they are also assigned to a task.

The reference date
The reference date is the baseline date used to calculate when each task in the process is due. All task due dates are defined relative to this date, for example 14 days before, on the date itself, or 30 days after.
When you choose a reference date, Huma automatically calculates the due date for each task based on the template settings.
💡 For an HR annual schedule, the reference date is typically January 1st or the start of your fiscal year. For a sick leave follow-up, it would typically be the first day of sick leave.
View and follow progress
- Go to the Processes module
- Make sure you are in the "In the progress" tab
- You will see a list of all active processes with the name, group, progress percentage, reference date and creation date
- Click on a process to see a detailed overview of all tasks, their status and due dates
💡 Users assigned to tasks can complete and edit their own tasks without needing any special permissions. They will receive notifications when assigned to a task and reminders before the task deadline.
💡 When all tasks in a process are completed, Huma will automatically suggest archiving the process.

Edit an active process
You can edit an active process at any time by adding, editing or removing tasks even after it has started.
- Go to the Processes module
- Click on the process you want to edit
- Add, edit or remove tasks as needed
💡 If you need to update the template itself, go to the Templates tab. Note that changes to a template will not affect processes that have already been started, only future processes will use the updated template.
Archive a process
When a process is completed, we recommend archiving it to keep your process overview tidy. Archiving preserves all data and tasks, it simply moves the process out of the active list.
- Go to the Processes module
- Click the three dots next to the process
- Click "Archive"
💡 Huma will automatically suggest archiving a process when all tasks have been completed.

Delete a process
You can delete both active and archived processes.
- Go to the Processes module
- Find the process you want to delete, either in the active list or the archive
- Click the three dots next to the process
- Click "Delete" and confirm
⚠️ Deleting a process permanently removes it and all its tasks. This cannot be undone. We recommend archiving instead of deleting whenever possible.

FAQ
Can a process be paused?
No. Processes cannot be paused. You can however edit the due dates of individual tasks to adjust the timeline if needed.
Can I start a process without a template?
Yes. You can start a process from scratch without using a template and add tasks manually.

Can tasks be assigned to a team or location instead of a specific person?
Yes. Tasks can be assigned to a specific person, a team or a location. When assigned to a group, all members will see the task but only one person needs to complete it. You can also create tasks without assigning them to anyone.
Who can see a process?
Users with a user role can only see processes for employees in the groups they have been granted access over. Users with organisation-wide access can see all processes.
Can I change the template after a process has started?
No. The template cannot be changed once a process has started. You can however add, edit or remove individual tasks directly in the active process.
