💡 All employees can view the competence overview and add or update their own competence records. No special role is required for this.

 

 

What is the Competence module?

The Competence module gives your organisation a complete overview of employee skills, qualifications and experience — all in one place. You can track what competences your employees have, when certifications expire, and identify gaps between what your organisation needs and what it currently has.

Competence records can include supporting documentation, expiry dates, levels and notes, giving HR administrators and managers a structured and up-to-date picture of the workforce.

The five competence categories

All competence in Huma is organised into five categories:

Category Description
Skills Practical and professional skills — such as communication, leadership, software tools or technical knowledge
Languages Language proficiency, using the CEFR scale (A1 to C2) as well as Native / multilingual
Certifications Courses, certificates, HSE certifications, driving licences and similar qualifications with an issued and/or expiry date
Education Formal education such as degrees, diplomas and vocational training
Experience Professional experience, previous roles and relevant work history

Competence types

Within each category, you can create your own competence types, for example "First aid certificate" under Certifications, or "Python" under Skills. Competence types define what fields are required when a competence record is added, such as whether an expiry date or documentation is mandatory.

When creating a competence type, you can configure the following:

Setting Description
Name The name of the competence type
Category Which of the five categories it belongs to
Expiry date required Whether an expiry date must be set when adding this competence
Issued date required Whether an issued date must be set
Documentation required Whether supporting documentation must be uploaded

 

💡 Competence types are shared across the organisation. Anyone with competence management access can create and edit types.

Notifications

Huma sends automatic notifications related to competence in the following situations:

Event Who receives it
Certification is expiring soon The employee the competence belongs to, and users with competence management access
Certification has expired The employee the competence belongs to, and users with competence management access

 

💡 Employees can manage their own notification preferences under account settings.

 

 

Export

You can export competence data for reporting or analysis.

  1. Go to the Competence module
  2. Click "Export" in the top right corner
  3. Choose which competence types to include, or leave empty for all
  4. Choose who to include; everyone, members of specific groups, or individual people
  5. Click "Generate export"

 

💡 You can only export competence for employees in groups you have competence management access over.

FAQ

Can employees add their own competence?

Not without the right role. To add or edit competence, including your own, you need either a system role with Competence management access, or a user role with "See and edit" access to Competence granted over the group you belong to. If you want all employees to be able to manage their own competence, make sure they have been granted the appropriate user role within "Standard role - on their own profile".

 

Can colleagues see each other's competence?

Yes, partially. The competence overview is visible to all employees. However, the level set on a competence record is only visible to the employee themselves and users with competence management access. Notes are visible to everyone in the organisation.

 

Can I add documentation to a competence record?

Yes. Documentation can be added as files or links. Note that documentation cannot be added when registering competence for multiple people at once, it must be added individually afterwards.

 

Who can see uploaded documentation?

Documentation visibility follows the same access rules as the competence record itself, users with competence management access and the employee the record belongs to.

 

What happens when a certification expires?

The competence record is marked as expired and both the employee and competence administrators receive a notification. The record remains in Huma and can be updated or renewed.
