How to work with employee onboarding

Understand how to use Huma for employee onboarding, create and edit templates, assign tasks and add due date.

What is onboarding in Huma?

The onboarding module helps you standardize and automate processes to save time and ensure your tasks are done at the right time and by the right person.

1. Create a new onboarding with new or exciting user

2. Choose supervisor, first day of work and templates

3. Set up onboarding agenda with task and assign them 

4. Start onboarding 

This is how you add a new template 

1. Click "Templates" in top menu

2. Click "Add onboarding template"

3. Modify template 

4. Auto save template and start onboarding

You can add tasks with a due date (number of days before/after first workday),  and assign a responsible person  (a dedicated person or the new hire).

You can always go back and edit an existing template. 

Can I duplicate an onboarding template? 

Yes, you can duplicate templates. 

1. Click the three dots on the right side of an existing template

2. Click "Duplicate"

3. Edit the name of the new template and start modifying the template

How to edit an existing template

1. Click the template you want to edit

2. Start modifying the new template

  • Add or remove tasks
  • Adjust due dates and/or responsible person

Please note that already started onboarding processes will not be affected by changes to the template, only future onboarding processes will be affected.

How to start an onboarding

1. Click onboarding in the left menu

2. Click New onboarding

3. Add new hire og choose an already existing user

4. Add the required information about the new hire and add to a team and/or location

5. Select the template you want to use for this particular person

6. Press Continue

  • You will now see an overview of the different tasks, due dates and responsible. You can modify, add or remove tasks if that is required for this particular onboarding

7. Click Start Onboarding

  • You will need to confirm and also choose if the new hire should be invited immediately or not

This is how you view the status of ongoing onboarding processes

1. Click Onboarding in the left menu
  • You now see an overview of the employees being onboarded
    • The employee name
    • The progress in percentage
    • The first workday
  • If you want to look closer at a specific employees onboarding status, click the name om the employee and you will see a detailed overview

All users can edit any task they are responsible for/assigned, without having a specific role. And they will receive notifications (email/push) from Huma as well based on their preferences.

Who has access to the onboarding overview?

Like all modules in Huma, the onboarding module is role- and access-controlled. This means you see what you are supposed to see. 

Users with the Onboarding permission in a User Role can create, manage, and view onboarding processes for new hires they are responsible for.

For example:

  • A manager for the Oslo location can create, view, and manage all onboarding processes and tasks for new hires in Oslo.
  • A manager with organization-wide access can create, view, and manage onboarding processes for new hires across all teams and locations.

In a addition to that the Users permission in a System role can:

  • Start and manage onboarding.
  • See all ongoing onboarding processes and connected tasks

Who can create and manage onboarding templates?

Users with the Onboarding and Offboarding Template Management permission in a System Role can create, edit, and delete onboarding templates, as well as start and view all onboarding processes. This permission is included in the default "Admin" role.

 

Who receives notifications?

If you are assigned a task, you will receive a notification.

How many onboardings can be started?

In Huma Enterprise, you can start as many onboardings as you want and create multiple templates. In the Business package, there are some limitations.

Role:
You need a System Role to: 

  • Start a new onboarding
  • See all ongoing onboarding processes and connected tasks
The relevant permissions is "Users" (which the default "Admin" role contains)

You need a User role to:

  • See ongoing onboarding processes limited to those users you have a role for (i.e. Manager for Oslo location, then you will see all ongoing onboarding processes and connected tasks for the Oslo location)
The relevant permissions is "Onboarding tasks" (which the default "Manager" role contains)
