Roles and access

Archive an offboarding
Archiving an offboarding moves it out of the active list and into the archive, without permanently deleting any data. Archived offboardings can still be accessed for reference, but they are no longer visible in the active offboarding overview.
- Go to the Offboarding module
- Navigate to "Active"
- Click the three dots next to the offboarding, either in the list or in the top right corner of the specific offboarding
- Click "Archive"
After archiving:
- Uncompleted tasks will remain uncompleted and are still available to the assignee
- You can still add tasks to an archived offboarding and the assignee will receive the task and it will appear on their dashboard
💡 We recommend archiving completed offboardings rather than deleting them, to preserve the history.

Reactivate an archived offboarding
You can reactivate an archived offboarding at any time, for example if an offboarding was archived prematurely.
- Go to the Offboarding module
- Navigate to the "Archive" tab
- Click the three dots next to the archived offboarding
- Click "Reactivate"
💡 The offboarding will move back to "Active". All tasks remain available for the assigned users.

Delete an offboarding
You can delete both active and archived offboardings. When deleting, you have three options:

| Delete offboarding | Deletes only the offboarding and its tasks. The user account remains active. |
| Delete offboarding and deactivate user | Deletes the offboarding and deactivates the user account. The employee loses access to Huma immediately. |
| Delete offboarding and user account | Deletes the offboarding and permanently deletes the user account and all associated data. |
- Go to the Offboarding module
- Find the offboarding you want to delete, either in "Active" or "Archive"
- Click the three dots next to the offboarding
- Choose the relevant delete option and confirm
⚠️ Deleting an offboarding permanently removes it and all its tasks. This cannot be undone. We recommend archiving instead of deleting whenever possible.
⚠️ Deleting a user account is permanent and cannot be undone. All data associated with the user will be lost.

Where to find archived offboardings
- Go to the Offboarding module
- Navigate to the "Archive" tab
- Here you will find a list of all archived offboardings.
💡 Users with a system role can see all archived offboardings across the organisation. Users with a user role can only see archived offboardings for employees in the groups they have been granted access over.
