Templates created by Huma
Huma provides ready-made onboarding templates that you can use as-is or as a starting point for your own templates. You will find them under the Templates tab in the Onboarding module, listed under "Onboarding templates created by Huma".
Templates are available in multiple languages and can be filtered by language and legislation.
💡 You cannot edit Huma's templates directly. Use them as a starting point when creating your own template by duplicating them.

Create your own template
Templates consist of tasks organised into three phases:

| After first day of work | Follow-up tasks in the days and weeks after |
To create a new template:
- Go to the Onboarding module
- Navigate to the "Templates" tab
- Click "Add onboarding template"
- Choose "New template", "Import from file" or select a Huma template as a starting point
- Give the template a name and click "Add"
- Add tasks to each phase — Before first day, First day and After first day
- For each task, fill in details such as title, description, due date and who it should be assigned to
- The template saves automatically. Click "Templates" to exit editing mode.
💡 When adding tasks, you can assign them to specific roles, such as the new hire, their supervisor, a mentor or a specific person. This makes it easy to distribute responsibilities automatically when an onboarding is started.
⚠️ Changes to a template will not affect onboardings that have already been started, only future onboardings will use the updated template.
Edit a template
- Go to the Onboarding module → Templates tab
- Click on the template you want to edit
- Add, edit or remove tasks as needed
- To edit template details, click the three dots in the top right corner and select "Edit details"
- All changes are saved automatically.
Duplicate a template
- Go to the Onboarding module → Templates tab
- Click the three dots next to the template
- Click "Duplicate"
- Give the duplicate a new name and start modifying it
💡 Duplicating is a great way to create variations of an existing template, for example different onboarding plans for different departments or roles.

Delete a template
- Go to the Onboarding module → Templates tab
- Click the three dots next to the template
- Click "Delete" and confirm
⚠️ Deleting a template cannot be undone. However, deleting a template will not affect onboardings that have already been started using that template.

Import and export templates
You can import and export onboarding templates, which is useful for sharing templates between organisations or keeping backups.
Export:
- Go to the Onboarding module → Templates tab
- Click the three dots next to the template
- Click "Export"
- The file will be saved as a .json file on your computer.

Import:
- Go to the Onboarding module → Templates tab
- Click "Add onboarding template"
- Choose "Import from file (.json)"
- Upload your file and click "Add"
💡 You can import multiple files at once. Maximum file size is 10MB. Only templates created and exported from Huma can be imported. Note that if you import an offboarding template into onboarding, it will technically work but the tasks may not fit the purpose.

FAQ
Can I use the same template for multiple onboardings at the same time?
Yes. You can use the same template as many times as you want, there are no restrictions on how many active onboardings can use the same template.
Can I add tasks from another template into my template?
Yes. When editing a template, you can add talking points from other templates by clicking "Add from template" at the bottom of the page.
Will changes to a template affect ongoing onboardings?
No. Changes to a template only affect future onboardings. Onboardings that have already been started will not be affected.
Can I import an offboarding template into onboarding?
Technically yes, but the tasks may not fit the purpose. Huma will warn you that the template is intended for offboarding before you proceed.
Can I assign tasks to someone who is not an employee in Huma?
No. Tasks can only be assigned to users who exist in Huma, either by name, or by role such as the new hire's supervisor or a specific team or location.
