What is a saved report?
The Equal pay page always shows your figures as they are right now. A saved report is a snapshot of those figures on a date you choose.
In a saved report you can explain each pay group's gap and write a summary with follow-up tasks. When you're done, you complete the report and download it as a PDF. This gives you documentation for your annual reporting and for requests from the authorities.
💡 The pay groups must be set up before you can create a report.

Roles and access
| Access | Role |
|---|---|
| Create, edit, complete, download and delete saved reports | System role: Salary → Salary management |
💡 Saved reports contain pay figures. Only users with Salary management can see them.
Create a report
- Go to Salary → Equal pay
- Choose the currency and whether pay is shown monthly or yearly. The report uses these choices.
- Click "Create a report"
- Fill in a name and a "Report date". The report includes everyone with a position active on that date.
- Under "Who's included?", pick companies, teams or locations if you only want part of the organisation. Leave these empty to include everyone.
- Choose the language for the AI-drafted notes
- Click "Create"
The report opens while it's being created. This can take a little while when AI writes the notes.
💡 Note
- You can include up to 25 companies, teams or locations of each type in one report.
- The name follows the year of the report date until you change it.
- To find your reports later, click "Saved reports" on the Equal pay page.
AI-drafted notes
When you create a report, AI suggests a note for each pay group that explains its gap. It also writes a summary of the report as a whole.
AI looks at anonymous figures for each pay group, such as seniority and management responsibility, and compares them between women and men.
💡 The notes are suggestions. You can edit every note before you complete the report.
Write notes and a summary
- Open the report
- Write or edit the note for each pay group
- Write or edit the summary under "Summary and follow-up tasks"
- Click "Save"
💡 Tip: Give a reason that holds whoever it applies to, such as seniority, time in role or scope of responsibility. A group without a gap needs no comment.
💡 You must save your changes before you can complete the report. Click "Discard" to undo changes you haven't saved.
Hidden figures
A saved report hides figures that could reveal one person's pay.
- Average pay is hidden when a pay group has fewer than 5 women or men with a registered salary.
- The gap is hidden when a group has fewer than 2 women or men with a registered salary.
- Figures in one group can also be hidden to protect pay in another group. This happens when the group's figures could otherwise be worked out from the company-wide gap.
When figures are hidden, the report says so. For some groups, it still says whether women or men earn more on average.
Complete the report
- Open the report
- Click "Complete report"
- Confirm by clicking "Complete report"
⚠️ The report is locked when you complete it. Nothing in it can be changed afterwards. Need different figures? Create a new report for the date you want.
Download as PDF

- Click the download icon ("Download as PDF")
💡 You can only download completed reports.
Delete a report

⚠️ Deleting a report can't be undone.
FAQ
Does a saved report change when salaries change?
No. A saved report is a snapshot on its report date. The Equal pay page still shows the live figures.
Why are the figures different from the Equal pay page?
The Equal pay page calculates the figures from the data in Huma right now. A saved report keeps the figures from when it was created, for its own report date and selection. It also hides figures that could reveal one person's pay. Check that the date, filters, currency and period are the same before you compare.
Can I change a report after I've completed it?
No. A completed report is locked. Create a new report if you need different figures or notes.
Why are some figures hidden?
To protect individual pay. When a group is too small, its figures could reveal what one person earns. See Hidden figures.
Do I have to use the AI-drafted notes?
No. The notes are suggestions. You can edit or replace every note before you complete the report.
Can I see saved reports during a salary revision?
Yes. Users with Salary management can open saved reports from a revision group.
