Svalbard Adventures is the company to contact when you want to experience some of the world's greatest adventures. They offer guided tours, snowmobile rental, hotels and eateries such as Restaurant Polfareren and Svalbar Pub. We headed north for a chat with HR deputy Dorthe Sommerseth to hear about their experiences with Huma.
From manual processes to automated, digital overview
"We lacked an HR system where we could have a total overview of personal data and provide managers with a tool for more systematic support for employee follow-up," says Dorthe when we ask her why Svalbard Adventures embarked on the search for a new HR system. Furthermore, she mentions that they didn't have a simple and digital tool for employee handbooks and contracts. In other words, a need for streamlining and security was the reason why Svalbard Adventures started searching for a new HR system.
"Huma had integration with the payroll system we use."
- Dorthe Sommerseth
As in most fairy tales, treasure is stumbled upon by accident, and that was the case for Svalbard Adventures too. "Huma had integration with the payroll system we use, Visma, so Svalbard Adventures actually found it through them," says Dorthe, adding that the choice was made before she came in as a temp. After some testing, they also found that Huma has a superior user experience. So the choice was easy - now Huma helps to keep track of things.
"We have positive employees who have welcomed the new system."
We move on to the implementation of the system, which went completely painlessly. "What we've spent the most time on is collecting the contracts and the data we had," says Dorthe. She goes on to share that starting with Huma, and getting the data and contracts into Huma was quick and easy.
Getting people into Huma was no problem either. "We have positive employees who have welcomed the new system, and managers in particular are well on their way to using it actively," Dorthe shares. She has traveled around to their various locations and held training sessions with the employees, and they have got the hang of Huma in no time at all.
A boost in efficiency for management, HR and employees
Svalbard Adventures has been using Huma for a while now, and they are noticing the effect of gathering everything in one place. "For those of us who work in HR, it's important to have a good, clear HR system where you have control over employees and their data," says Dorthe, adding that it's important to have good processes that make the workday easier for HR and management. In addition, digital signatures and contracts allow for smoother contract writing.
But it's not just benefits for management and HR. News keeps employees up to date on all the exciting things that are happening. "We started using it actively from the start with monthly newsletters, and we try to share everything big and small there," says Dorthe. She also mentions that the employee handbook has received a boost, and that employees have benefited from being able to see all the people who work at Svalbard Adventures and their contact details when needed.
And then there are the things that make it easier for both employees and management. Onboarding helps to give new employees a nice welcome. Meetings allow employees and managers to set meeting agendas together and take notes before, during and after for more productive meetings.
Before we finish our chat, Dorthe tells us that she thinks it's good to have a clear and user-friendly system, and that she's looking forward to getting even deeper into the Huma world. Thank you very much, Dorthe, and thank you for a pleasant chat. Good luck on your adventure!
